{"id":10803,"date":"2022-01-17T06:02:10","date_gmt":"2022-01-17T14:02:10","guid":{"rendered":"https:\/\/www.coretechnologies.com\/blog\/?p=10803"},"modified":"2023-01-07T17:31:28","modified_gmt":"2023-01-08T01:31:28","slug":"dropbox-smart-sync-problem","status":"publish","type":"post","link":"https:\/\/www.coretechnologies.com\/blog\/alwaysup\/dropbox-smart-sync-problem\/","title":{"rendered":"Q&#038;A: Why can&#8217;t I open my Dropbox files even though Smart Sync is off?"},"content":{"rendered":"<div align=\"center\"><img loading=\"lazy\" decoding=\"async\" class=\"no-lazy-load\" src=\"\/blog\/images\/qa-dropbox-smart-sync.webp\" style=\"margin-bottom:20px;\" title=\"Q&#038;A: Why can't I open my Dropbox files even though Smart Sync is off?\" alt=\"Q&#038;A: Why can't I open my Dropbox files even though Smart Sync is off?\" border=\"0\" width=\"380\" height=\"160\"><\/div>\n<div class=\"blog-qa-question-box\">\n<img loading=\"lazy\" decoding=\"async\" class=\"no-lazy-load\" src=\"https:\/\/cdn.coretechnologies.com\/images\/quotes-transparent-21x21.png\" width=\"21\" height=\"21\">&nbsp;&nbsp;I just installed AlwaysUp (13.3.3.17) specifically to keep a Dropbox synchronized with a Win 2012 R2 server.<\/p>\n<p>I have followed the <a href=\"\/products\/AlwaysUp\/Apps\/RunDropboxAsAService.html\">installation guide<\/a> (wizard and then double checked the setting). <a href=\"https:\/\/www.dropbox.com\/smart-sync\" target=\"_blank\" rel=\"noopener\">Smart Sync<\/a> is turned off.<\/p>\n<p>The service seems to start from AlwaysUp, and using <a href=\"\/blog\/windows-services\/essential-tools-for-windows-services-process-explorer\/\">Process Explorer<\/a> I can see that Dropbox started with a bunch of TCP\/IP connections (5 or 6) after running for a few minutes, then that drops to 3 then 2 then back to 3 connections. However, I think this is a red herring because starting &quot;in this session&quot; does the same.<\/p>\n<p>Anyway, if I try to access one of the files from the Dropbox folder I can navigate to the file but it is &quot;lightened&quot; (not greyed out, but not full color). When I try to open the file, a PDF for example, I get an error that the file cannot be accessed.<\/p>\n<p>The server is not the original source of the data. That is, other people modified\/created files in Dropbox and the server needs to access them.<\/p>\n<p>If I restart the service &#8220;in this session&#8221;, when I access a file I see a Dropbox notification that the file is being download and I have access to the file.<\/p>\n<p>This situation reads like the issues reported and fixed by <a href=\"\/blog\/dropbox-software\/how-to-fix-opengl-problem\/\">setting QT_OPENGL as a environment variable<\/a> but I tried it and still no luck.<\/p>\n<p>Dropbox is the very latest, version 139.4.4896. I&#8217;m using a paid account.<\/p>\n<p>If AlwaysUp cannot keep Dropbox running\/syncing in the background then it is of no use to us.    <\/p>\n<p>How should we proceed to fix this?  <\/p>\n<p align=\"right\">&mdash; Christopher<\/p>\n<\/div>\n<p>Hi Christopher, sorry to hear of the trouble! We have hundreds of clients running Dropbox with AlwaysUp every day so I&#8217;m sure that we&#8217;ll be able to resolve your problem soon.<\/p>\n<h2 class=\"blog-caption\">What&#8217;s up with Smart Sync?<\/h2>\n<p>You are on the right track in disabling the Smart Sync feature. As described in <a href=\"\/blog\/dropbox-software\/disable-smart-sync\/\">this article<\/a>, Smart Sync doesn&#8217;t play well with background operation, such as when you start Dropbox at boot as a Windows Service.<\/p>\n<p>Based on your message, you&#8217;ve configured the <b>Sync<\/b> tab of your Dropbox <b>Preferences<\/b> window like this, right?<\/p>\n<div align=\"center\"><a href=\"\/blog\/images\/disable-smart-sync-for-new-files.png\" class=\"zoomPopup\" title=\"Disable Smart Sync for new files\" target=\"_blank\" rel=\"noopener noreferrer\"><img decoding=\"async\" class=\"image-padding\" src=\"\/blog\/images\/disable-smart-sync-for-new-files.png\" title=\"Disable Smart Sync for new files (click to enlarge)\" alt=\"Disable Smart Sync for new files\" border=\"0\" width=\"520\" \/><\/a><\/div>\n<p>That&#8217;s good, but turning off the <b>Save hard drive space automatically<\/b> option might not be enough to get rid of Smart Sync entirely. That&#8217;s because the setting only applies to <b>new files uploaded to Dropbox.com<\/b>. It&#8217;s simply the default going forward.<\/p>\n<p>Most importantly, some files uploaded to dropbox.com before you turned off Smart Sync may NOT be present to your hard drive. They will remain as &#8220;online only&#8221;, and Dropbox will only be fetch them from the cloud when you first open them on your server. As a result, those &#8220;older&#8221; files will be inaccessible when you are running Dropbox as a Windows Service with AlwaysUp.<\/p>\n<p>Fortunately, the problem has an easy fix. Simply instruct Dropbox to download all your files &mdash; for real.<\/p>\n<h2 class=\"blog-caption\">How to make all your Dropbox files &#8220;Local&#8221; (not &#8220;Online only&#8221;)<\/h2>\n<p>To force Dropbox to fully download all your files to your PC, you can update the settings for each folder.<\/p>\n<p>Navigate to your Dropbox directory in File Explorer, right-click a sub folder and select <b>Smart Sync &gt; Local<\/b> from the menu:<\/p>\n<div align=\"center\"><a class=\"zoomPopup\" title=\"Set Smart Sync folder to Local\" href=\"\/blog\/images\/set-smart-sync-local.png\" target=\"_blank\" rel=\"noopener noreferrer\"><img decoding=\"async\" class=\"image-padding\" title=\"Set Smart Sync folder to Local (click to enlarge)\" src=\"\/blog\/images\/set-smart-sync-local.png\" alt=\"Set Smart Sync folder to Local\" width=\"520\" border=\"1\" \/><\/a><\/div>\n<p>However, that may be very tedious!<\/p>\n<p>Your best bet is to do away with the Sync feature entirely &mdash; as <a href=\"https:\/\/help.dropbox.com\/installs-integrations\/sync-uploads\/filesystem-integration\" target=\"_blank\" rel=\"noopener\">guided by the Dropbox crew<\/a>:<\/p>\n<div class=\"blog-qa-question-box\" style=\"margin-top:24px\">\n<h3 class=\"larger\" style=\"margin-top:0px\"><img decoding=\"async\" src=\"\/images\/quotes-transparent-21x21.png\" \/> Uninstall the system extension<\/h3>\n<p><b>Note:<\/b> Uninstalling the system extension will disable Smart Sync, but you\u2019ll still be able to use the Dropbox desktop app.<\/p>\n<p>To uninstall the system extension:<\/p>\n<ol>\n<li><a href=\"https:\/\/www.dropbox.com\/login\" target=\"_blank\" rel=\"noopener\">Sign in<\/a> to dropbox.com.<\/li>\n<li>Click your avatar (profile picture or initials) in the upper-right corner.<\/li>\n<li>Choose <b>Settings.<\/b><\/li>\n<li>Click the <b>General<\/b> tab.<\/li>\n<li>Toggle <b>Dropbox system extension<\/b> to off.<\/li>\n<\/ol>\n<h3 class=\"larger\">Admins: Uninstall the system extension from your team\u2019s computers<\/h3>\n<p>As an admin, you can uninstall the Smart Sync system extension from your team\u2019s computers. To do so, <a href=\"https:\/\/www.dropbox.com\/team\/admin\/settings\/smart_sync\/opt_out\" target=\"_blank\" rel=\"noopener\">follow this link to the uninstall page of the admin console<\/a>, check the boxes, and click <b>Uninstall<\/b>.<\/p>\n<p>After the system extension is uninstalled, team members can still use the Dropbox desktop app, but all of their <a href=\"https:\/\/help.dropbox.com\/installs-integrations\/sync-uploads\/smart-sync\" target=\"_blank\" rel=\"noopener\">online-only files will become local<\/a> and Smart Sync will be disabled for both their team account and any <a href=\"https:\/\/help.dropbox.com\/accounts-billing\/multiple-accounts\/link-unlink-two-accounts\" target=\"_blank\" rel=\"noopener\">linked personal account<\/a> they may have.<\/p>\n<p>Alternatively, <a href=\"https:\/\/help.dropbox.com\/installs-integrations\/sync-uploads\/smart-sync-admins\" target=\"_blank\" rel=\"noopener\">you can manage your team\u2019s default Smart Sync settings without uninstalling the system extension for your team.<\/a><\/p>\n<\/div>\n<p>And with Smart Sync deactivated, Dropbox will download all your files when its running as a Windows Service.
